A corporate event has a defined purpose, a particular audience and a programme that needs to work on the day. A shared planning framework helps stakeholders make decisions in the right order.

Define the event objective and audience

Be specific about what the event needs to achieve and who will attend. The objective influences the format, venue, content, production and how the event will be evaluated.

Shape the programme and run of show

Confirm speakers, sessions, presentations, transitions, breaks and key cues. Build realistic buffers and make sure every programme owner understands their responsibility.

Plan venue and technical production together

Review sightlines, stage layout, microphones, sound, lighting, LED screens, presentation playback and broadcasting needs with the venue and technical partners.

Design the attendee experience

Consider registration, wayfinding, access, refreshments, transport, hospitality and communication before and during the event.

Document ownership and contingencies

Create a single run sheet with contacts, escalation paths, dependencies and backup arrangements for the most important parts of the programme.
